Access options

*Help doc 03 of 7. Final for the help assistant, Oct 20, 2026.*

What access options are there?

Each room uses exactly one of these four access settings. In every one, each visitor is identified by an email.

| Setting | Who gets in | How visitors are identified | Good for |
|---|---|---|---|
| **Email entry** (default) | Anyone with the link who types an email | By the email they type (not verified) | Most deals. You see everyone, including forwards |
| **Approved emails only** | Only the emails or whole domains on the room's list | By their approved email | Sensitive deals limited to named people or one company |
| **Password** | Anyone with the link and the password | They're also asked for their email after the password | Quick sharing with a group |
| **Password + Google sign-in** | Anyone with the password who also signs in with Google | By their Google account email (verified) | When you need a verified identity |

Microsoft sign-in isn't available at launch.

What is the default?

Email entry. Every new room starts with email entry unless you change it.

How do I change a room's access setting?

  1. Open the room (https://buyerrooms.com/app/rooms/{id}).
  2. Go to the Access tab.
  3. Choose Email entry, Approved emails only, Password, or Password + Google sign-in.
  4. If you chose Approved emails only, add each allowed email address, or a whole domain such as @acme.com.
  5. If you chose Password or Password + Google sign-in, set the password.
  6. Save.

You can change access at any time, even after sending the link. The link doesn't change.

How do I see who my contact forwarded the room to?

Every visitor gives an email, so each forwarded viewer shows up as a new visitor in the room's Activity tab, and the "room opened" alert names them by that email.

  • Email entry, Password, and Password + Google sign-in: forwarded viewers get in and are named by email.
  • Approved emails only: forwarded viewers who aren't on the list (and whose domain isn't allowed) are refused, not tracked.

Does email entry verify the email address?

No. Email entry doesn't send a code, so a visitor could type any address. For a verified identity, use Password + Google sign-in.

What happens if someone not on the approved list tries to enter?

They're refused and see: "That email isn't on the guest list for this room. Please use the email address your invitation was sent to."

What happens if someone enters the wrong password?

They see "Incorrect password, try again." After 10 wrong attempts in 15 minutes, they see "Too many attempts. Please try again in 15 minutes."

Can visitors use a personal Gmail account to sign in to a room?

Yes. Visitors can use personal Google accounts (for example, Gmail) to enter rooms. The work-email rule only applies to BuyerRooms users. Entering a room never makes a visitor a member of your team.

How long does a visitor stay signed in to a room?

30 days on the same device. After that, they pass the access step again.

Does the Files area have its own password?

Not by default. It uses the room's access setting. You can turn on a separate Files password in the room's Files tab ("Require a separate password for files"). See *02 Building a room*.

Can I set a room to expire or turn off a link?

There are no expiry dates at launch. To turn a link off instantly, click Unpublish: visitors see that the room is paused. Click Publish to turn it back on at the same link.

Can I see a room the way my prospect does?

Yes. Click Preview. It shows the room exactly as a visitor sees it, and it isn't tracked. Visits by you and your teammates while signed in to BuyerRooms are never tracked and send no alerts.

Are rooms visible on Google?

No. Rooms are private and kept out of search engines. Only people with the link who pass the access step can see the content.

Is single sign-on (SAML/Okta), Microsoft sign-in, or a custom domain supported?

No. SAML/Okta single sign-on and custom domains aren't available, and Microsoft sign-in isn't available at launch. Google sign-in (paired with a password) is the only visitor sign-in option.
